Retention policy
Future for Hunting Last updated: April 2026
Purpose
This policy sets out how long Future for Hunting retains personal data collected through our campaign tools, and the process by which data is securely deleted when the retention period ends. It supports our compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Data covered by this policy
This policy applies to personal data collected through the trail hunting consultation response tool, including:
Names and email addresses
Location and organisational information
Written consultation responses
Consent records
Retention periods
Consultation responses and associated personal data will be retained for two years from the date of collection, or until the end of the trail hunting consultation campaign, whichever is sooner. This allows sufficient time for post-consultation analysis and reporting.
Consent records will be kept for the same period plus one additional year, so that we can demonstrate our lawful basis for processing if it is ever challenged.
Data held for email communications purposes will be retained until consent is withdrawn or for two years, whichever is sooner, as ongoing communications require active consent.
Data held in connection with broader campaign communications will be retained for three years from the date of last engagement, in order to maintain contact with active supporters.
Review triggers
Data will be reviewed and deleted earlier than the standard retention period in the following circumstances:
An individual withdraws their consent and requests deletion
The trail hunting consultation campaign concludes and data is no longer needed
A data subject access request reveals data that should not have been retained
An audit identifies data held beyond its retention period
Deletion process
At the end of the applicable retention period:
A member of the Future for Hunting team will conduct a review of all data held in the consultation response spreadsheet
Rows containing data beyond the retention period will be permanently deleted from the spreadsheet
Any local copies or exports will also be identified and deleted
A record of the deletion will be kept (date, volume of records deleted) — this record itself will be retained for 3 years
Consent withdrawal requests
If an individual requests deletion of their data by emailing info@futureforhunting.co.uk:
The request will be acknowledged within 5 working days
The data will be located and deleted within 30 calendar days
The individual will be notified once deletion is complete
Responsibility
The person responsible for overseeing data retention and deletion at Future for Hunting is the campaign lead. This policy should be reviewed annually or whenever there is a significant change to campaign activities or data processing practices.
